We are seeking a full-time executive assistant for the founder and CEO in West Hollywood. The ideal candidate is a highly motivated, industry-savvy professional with a passion for storytelling—whether through TV, podcasts, or digital content—who also has an eye for pop culture, emerging trends, and business news. This fast-paced role offers exposure to high-level partners across the company's ecosystem and the CEO’s multiple ventures. As such, the ideal candidate must possess exceptional attention to detail, strong communication skills, a proactive mindset, and the utmost discretion. This person thrives in a dynamic environment, anticipates needs, delivers white-glove service, and operates with high integrity.

RESPONSIBILITIES (but not limited to):

• Proactively manage the CEO's dynamic and complex calendar, seamlessly adapting to rapid shifts in priorities.

• Conduct regular meetings with the CEO to anticipate needs, provide strategic

recommendations regarding scheduling, and ensure optimal workflow efficiency.

• Act as a discerning gatekeeper, prioritizing meeting requests and ensuring the CEO's time is maximized for key industry engagements, creative collaborations, and business development.

• Coordinate all aspects of domestic and international travel for the CEO and designated personnel, including commercial/private flights, accommodations, ground transportation, and detailed itineraries, with a keen awareness of the industry's unique travel demands (e.g., film festivals, award shows, on-location shoots).

• Anticipate and address potential travel disruptions, ensuring seamless transitions while maintaining flexibility in response to evolving schedules.

• Manage all internal and external communications on behalf of the CEO, maintaining discretion and professionalism when interacting with high-profile industry executives, talent, agents, and other key stakeholders.

• Draft and prepare correspondence, presentations, and other materials, ensuring alignment with the CEO's voice and brand.

• Meticulously manage and reconcile all business and personal expenses, including

entertainment-related expenditures, production costs, and travel-related charges, ensuring accurate and timely reporting.

• Develop and maintain a comprehensive expense tracking system, providing detailed reports and insights to the CEO.

• Curate and manage all personal and professional gifting initiatives, sourcing unique and thoughtful gifts for industry colleagues, talent, and partners, reflecting the CEO's appreciation,

and fostering strong relationships.

• Maintain a detailed gifting log and calendar, ensuring timely delivery and appropriate acknowledgments.

• Plan and execute high-profile business and personal events, dinners, and gatherings at the residence, coordinating with top-tier vendors, caterers, and staff, and ensuring a seamless and memorable experience for guests.

• Oversee the maintenance and upkeep of the residence, ensuring it reflects the CEO's standards and is conducive to both professional and personal engagements.

• Ensure the comfort of household guests.

• Support the headquarters' office needs including contractor scheduling, office maintenance oversight, ordering supplies, providing backup support, etc.

• Oversee and manage repairs, renovations, and general maintenance of the residence; maintain a calendar of upcoming household projects and deadlines; source, hire, schedule and supervise service providers; act as the point of contact for all household service providers and ensure timely completion of tasks.

• Oversee and manage all vehicle repairs and maintenance.

• Coordinate and direct special projects, including those related to film productions, events, or other entertainment ventures.

• Maintain the highest level of confidentiality and discretion in all matters, handling sensitive information with the utmost care and professionalism, a crucial aspect of working within the entertainment industry.

• Anticipate the CEO's needs and provide proactive support, demonstrating a high degree of resourcefulness and problem-solving skills in a dynamic and fast-paced environment.

• Other duties as assigned.

QUALIFICATIONS:

• 3+ years’ experience in a high-volume EA position at an agency/management company, production company, studio, or supporting senior leadership within the entertainment industry.

• Proven ability to maintain confidentiality and use the utmost discretion in every situation, as required.

• Must take direction, adjust to rapid changes, and provide thoughtful on-the-spot

problem-solving while maintaining a positive, respectful, and professional demeanor.

• Ability to effectively collaborate with the CEO/Founder, Executive Assistant, and other designees of the CEO.

• Knowledge of Los Angeles and surrounding areas is required.

• Strong interpersonal, written, and verbal communication skills are required.

• Hyper-focus on details and maintaining smooth workflows and scheduling, required.

• Highly proficient in Excel and Google Suite, required.

• Valid driver’s license and reliable transportation required (mileage is reimbursable).

• Entertainment and/or hospitality industry experience is a plus.

PHYSICAL DEMANDS/WORK REQUIREMENTS:

• Ability to perform standard office tasks, including prolonged computer use and telephone communication.

• Ability to perform tasks requiring physical mobility, including standing, sitting, walking, and lifting at least 30 pounds.

• Ability to conduct visual inspections of work areas.

• Ability to travel as needed, including by car and airplane.

• Valid driver's license, reliable transportation, and valid insurance required (mileage

reimbursable).

Salary: $70,000-$90,000/yearly + benefits. Please note that this will be an HOURLY + OT position (NOT salary), and the range listed is what you'll earn via hourly + OT combined.

Location: West Hollywood, CA. This is a fully onsite position.
