We’re a growing firm based in Hyattsville and we’re looking for a motivated  Legal Receptionist to join our team and help ensure the smooth operation of our office.

Position Overview:

The  Legal Receptionist will be a key member of our team, providing essential administrative and clerical support to attorneys, paralegals, and other staff. This role requires a professional who is organized, proactive, and can handle multiple tasks in a fast-paced environment. The ideal candidate will have a strong attention to detail and excellent communication skills.

Key Responsibilities:

  • Front Desk Support: Greet clients and visitors, answer phone calls, and direct inquiries to the appropriate team members. Ensure a welcoming and professional environment for all visitors.
  • Scheduling & Calendar Management: Assist in scheduling meetings, court dates, depositions, and client appointments. Maintain up-to-date calendars for attorneys and paralegals.
  • Correspondence: Draft, proofread, and edit various legal documents, correspondence, and memos. Ensure all written communication is accurate and professional.
  • File Management: Sort mail, organize and maintain both physical and electronic case files, ensuring that documents are properly filed, labeled, and easily accessible.
  • Client Communication: Act as a point of contact for clients, providing updates on cases and scheduling follow-ups with attorneys. Handle confidential information with discretion.
  • Office Coordination: Order office supplies, manage mail and deliveries, and assist in maintaining a clean and efficient workspace.
  • Administrative Support: Provide general administrative support to the legal team, including photocopying, scanning, faxing, and data entry.

Qualifications:

  • Experience: 1-3 years of administrative experience in a law firm or similar professional environment preferred.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat. Familiarity with case management software is a plus.
  • Organization: Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Communication: Excellent written and verbal communication skills; ability to interact professionally with clients, attorneys, and court staff.
  • Attention to Detail: Must be detail-oriented, ensuring accuracy in document preparation, calendaring, and file management.
  • Team Player: Willingness to collaborate and assist in a small, close-knit team environment.
  • Adaptability: Ability to work in a fast-paced environment and handle shifting priorities with a positive attitude.
