JOB TITLE: Receptionist / Office Administrator

REPORTS TO: Director of HR & Operations; Director of Construction; Director of Finance & Accounting; Principals (Russ and Scott Murfey)

GENERAL SUMMARY: Murfey Company, Inc. is seeking a professional and self-reliant Office Manager to manage and maintain the Murfey Company Office and provide high-level administrative support to our Principals. The ideal candidate for this role will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. Given the changing nature of the construction industry, it necessary for the Office Manager to operate with flexibility and foresight, while maintaining confidentiality and attention to company policies and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES:  

ADMINISTRATIVE

  • Answer and route phone calls
  • Open and distribute mail
  • Mail quarterly investor checks
  • File check stubs and add checks to the check tracking log when they are mailed out
  • Attach unconditional releases to subcontractor payment
  • Coordinate Fed Ex pickups
  • Coordinate check pickups
  • Greet clients and make sure they are comfortable
  • Maintain a clean and organized office environment
    • Load and unload the dishwasher
    • Keep the kitchen stocked with supplies and food
    • Ensure the conference room is always meeting-ready
    • Coordinate with staff to ensure any items left out in the office are stores appropriately
    • Ensure plants are watered every two weeks
    • Regularly walk the office to identify improvements to the space
    • Have the floors steamed and grout cleaned twice/year
  • Purchase and maintain inventory of office and kitchen supplies
  • Maintain company equipment log
    • Receive and process Equipment Check Out and Return Forms
    • Collect monthly Equipment Logs from each active jobsite
    • Update the Equipment Log as items are checked out and returned
  • Coordinate office and IT maintenance and repairs as necessary
  • Coordinate office lunches and monthly birthday and anniversary lunches
  • Assist with coordinating and setting up company events
    • Coordinate the December Food Drive
    • Assist with coordinating the Annual Charity Golf Tournament
  • Send birthday and anniversary cards to employees
  • Set up new direct lines and extensions and update phone script as necessary
  • Maintain the company directory and phone extensions list
  • Review phone invoices and regularly audit list of phone lines
  • Assist HR with onboarding and setting up new hires with necessary equipment and access
  • Manage and distribute the monthly office meeting agenda and calendar
  • Manage and distribute the weekly labor schedule
  • Coordinate and maintain archive and archive log
    • Plan bi-annual archive days

CONSTRUCTION ADMINISTRATION

  • Archive project documents
  • Order equipment for job sties
  • Create Bid Binders
  • Create Job folders
  • Assist PMs with updating and formatting documents
  • Maintain and organize project samples

SAFETY

  • Give new employees a Safety Binder-Order more if necessary
  • Maintain and update Murfey Safety documents, such as IIPP and safety binder, and jobsite safety checklist
  • Email tailgate topics weekly to project teams and save to Box
  • Conduct weekly inspections of the Company AED

BUSINESS DEVELOPMENT

  • Add potential clients into the business development log-HubSpot
  • Attend monthly business development meetings
  • Assemble Murfey’s swag bags
  • Assist with purchasing Murfey swag and branded gear
  • Create Requests for Proposals (RFPs)

EXECUTIVE ASSISTANT

  • Act as the administrative point of contact for Principals among employees, clients and other external partners
  • Set up meetings
  • Make travel, accommodation, and registration arrangements as necessary
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
  • Assist Principals with administrative projects as necessary

JOB QUALIFICATIONS:

  • Proficient in English, grammar, punctuation, and basic writing skills
  • Construction industry work experience preferred
  • Positive attitude, must be a team player
  • Highly organized, strong time-management skills
  • Proficient in Microsoft Office (Excel, Adobe, Word)
  • Ability to work on multiple tasks with minimal supervision, prioritize and organize workload
  • Self-starter, highly motivated and works proactively
  • Ability to relate well with customers, management and staff at all levels throughout the Company
  • Strong written and verbal communication skills
